Formal Complaint and Urgent Refund Request – R249 Processing Fee

Ticket WA***

I write further to my previous correspondence regarding the cancellation of my package and to formally demand urgent feedback on the refund of my R249 processing fee, which was debited from my Nedbank account.

After waiting 18 days for my services to be connected — and repeatedly being assured that my order was being escalated — I was ultimately informed that the entire package had been cancelled. This was discovered by me after following up myself, without any prior notification from your team.

I app**** for this service specifically because I work from home. During these 18 days, I have suffered financial loss while waiting for updates and activation. To then be told, after nearly three weeks and after already being debited the processing fee, that the order was cancelled was beyond frustrating. It was unacceptable.

I was advised that refunds take 3–5 business days, and this was confirmed by the consultant who assisted me via your online chat. Given the inconvenience, lack of communication, and financial impact this has caused, I now require this refund to be expedited as a matter of urgency.

The service experience has been extremely disappointing:

No proactive communication. Delayed chat responses (sometimes up to an hour per reply). Assurances of escalation with no actual resolution. Cancellation without notification.

As a new customer, this has been the worst service experience I have encountered.

At this stage, my priority is clear: I require my R249 refund to be processed immediately and expedited, with written confirmation and proof of payment once completed.

Please treat this matter with the seriousness and urgency it deserves.

I expect a prompt response.

Kind regards,

Hi Yoli,
We understand how disappointing and disruptive this experience has been, particularly after waiting an extended period for activation, receiving repeated assurances of escalation, and then discovering that the order had been cancelled without proactive communication. We acknowledge the financial and professional impact this has had on you, especially while working from home.
We have reviewed your account linked to ticket WA*** and can confirm that the R249 processing fee was credited and the refund was successfully processed today. Please note that the amount typically reflects in your bank account within 5 to 7 working days, depending on your bank’s processing timelines.
Your feedback regarding delayed responses, lack of proactive updates, and the handling of your order cancellation will be shared with our Service Quality Team for review, as this highlights areas where the customer journey needs improvement.
Should you require any further assistance or wish to follow up, you’re welcome to reach out to us again via Hello Peter, and we’ll gladly assist.
Warm regards,
Webafrica Crew

Dear Webafrica Team,

I am extremely frustrated reading your latest response.

I submitted my refund request last week already. At that time, when I was transferred to Billing via chat, I was explicitly told that the refund had been processed. Now I am being told it was only processed today. That is a complete contradiction and clearly shows that your departments are not aligned.

This ongoing inconsistency is exactly what has made this entire experience so unacceptable.I was previously assured that the refund turnaround time was 3–7 working days. The 7-day period I was advised of ends on Wednesday. I am therefore formally requesting that this refund be expedited and reflected in my account by Wednesday-6th May 2026 at the latest.

I will not accept any further extensions or revised timelines. After 18 days of waiting for service activation, being told my order was being escalated, discovering on my own that it had been cancelled, and now dealing with conflicting information about my refund, this has been beyond disappointing.

Please escalate this matter immediately and provide written confirmation that the refund has been prioritised for release before Wednesday.

I expect urgent action.Regards,
Webafrica

Hi Webafrica Team,Thank you for your response. As previously communicated, I am not prepared to accept any delay beyond Wednesday, 6 May 2026. This deadline was already agreed and confirmed, and I expect it to be honoured without further extension.I want to be very clear that I will not be following up repeatedly on this matter. I have already escalated this further on my side and have taken advice from my attorney, who is awaiting confirmation that this will be resolved within the agreed timeframe. Please proceed accordingly and ensure my full refund is processed and reflected by Wednesday, 6 May 2026 at the latest.I trust this is understood and clearly noted.Regards,

Hi Yoli, we acknowledge your message and the urgency around this matter. The refund has been processed and submitted for release on our system. It is now moving through the standard verification and banking clearance stages before it reflects in your account. The exact reflection time can vary depending on your bank’s processing timelines. We understand the importance of this being resolved and confirm that it has been handled on our side and is in the final processing phase. If any further confirmation is required once the transaction is completed, we will make sure it is provided. Warm regards,
 Webafrica Crew
