Formal Complaint Regardin Poor Service and Handling of Insurance Claim – Vodacom Retail Park Woodmead

Dear Vodacom Customer Service Team,

I trust this email finds you well.

I am writing to formally express my deep disappointment and concern regarding the level of service my wife and I have recently experienced in relation to an insurance claim for her ****** iPhone 12, as well as the manner in which the matter has been handled by representatives associated with Vodacom.

On Monday, 18 May 2026, my wife’s iPhone 12 was unfortunately ******. The incident was immediately reported to the police, after which we proceeded to the Vodacom Retail Park Woodmead store to initiate the insurance claim process.

At the store, we were assisted by a consultant named Valencia (or Valecia), who initially assisted us professionally and advised that the claim process had encountered a stumbling block due to the IMEI number requiring an update from the insurance department. She indicated that the matter had been escalated and, given that it was already after 17h00, feedback would likely be received the following day.

On Tuesday, 19 May 2026, I contacted Valencia between approximately 09h00 and 10h00 to follow up on the progress of the claim. I was informed that she was still awaiting feedback and that the turnaround time for such matters was approximately three hours. She advised me to call again around 13h00. When I followed up later that afternoon, around 15h30 to 16h00, I was informed that there was still no update and was advised to contact the insurance department directly on ***.

I subsequently contacted the insurance department, where the consultant informed me that the IMEI issue would be resolved within 30 minutes. Unfortunately, this did not happen.

On Wednesday, 20 May 2026, I again contacted Valencia, who advised that the IMEI still had not been updated. I then contacted the insurance department once more, and this time I was informed that the issue had already been updated on their side. This resulted in us being sent back and forth between the insurance department and the Vodacom store representative, with no clear accountability or communication between the two parties.

What was most concerning, however, was the manner in which I was ultimately addressed during one of these follow-up calls. Valencia stated, in a dismissive and rude tone, that she was “doing me a favour” by escalating the issue with the insurance department and that it was “not fair on her” because she had “customers” to attend to. I found this extremely inappropriate and disappointing. As I responded during the call, I too am a customer, and it is unacceptable to be made to feel like an inconvenience while simply following up on a legitimate insurance claim.

From a customer’s perspective, there is no distinction between Vodacom Insurance and Vodacom store representatives both operate under and represent the Vodacom brand. Customers should therefore reasonably expect professionalism, accountability, and respectful treatment across all touchpoints.

I would also like to highlight that I have been a loyal Vodacom customer since February 2024. Throughout this period, I have consistently honoured my obligations as a customer, including ensuring that all payments are made on time without fail. Despite this, my interactions with Vodacom representatives have repeatedly been associated with unnecessary complications, poor communication, and disappointing customer service experiences.

In addition, the repeated back-and-forth calls between the Vodacom store and the insurance department have all taken place during my working hours, causing ongoing disruption to my professional responsibilities and placing unnecessary strain on my workday. As a customer, I should not be required to continuously coordinate between internal Vodacom departments in order to obtain progress on a matter that should be managed efficiently and professionally internally.

What makes this matter even more disappointing is that this is not my first negative experience with the Vodacom Retail Park Woodmead branch. In November 2025, I lodged a formal complaint regarding unprofessional and disrespectful treatment received from another consultant at the same branch. At the time, I expressed concern regarding the conduct and customer service standards at this store and requested that corrective action and staff training be implemented.

It is therefore extremely concerning that, several months later, I find myself once again compelled to raise similar concerns regarding customer treatment and service delivery at the same branch.

The repeated lack of professionalism, poor communication, and absence of ownership in resolving customer issues reflects poorly on the Vodacom brand and creates unnecessary frustration during already stressful situations such as dealing with theft and insurance claims.

I respectfully request the following:

A formal investigation into the handling of this matter and the conduct displayed during our interactions with the Vodacom Retail Park Woodmead branch.

Appropriate intervention to improve communication and customer service standards at the branch to prevent similar experiences for other customers.

While I remain respectful in raising this matter, I must emphasise that the overall experience has been extremely disappointing and has significantly impacted my confidence in the level of customer service currently being provided.

I trust that Vodacom will treat this matter with the seriousness it deserves and provide the necessary attention to ensure an appropriate resolution.
