Formal Complaint – Gross Miscommunication Resulting in Financial Prejudice

Dear Vodacom,

I am writing to formally express my frustration and dissatisfaction with the unacceptable level of miscommunication and lack of procedural clarity demonstrated by your staff, which has now directly placed me at financial risk.

On 1 March 2026, I had a missed debit order, which resulted in my services being barred. In an effort to resolve this promptly and responsibly, I visited your Clearwater Mall branch today (1 April 2026), where I was assisted and allowed to make a payment of R1,400.99 toward the outstanding amount. At no point during this in-store interaction was I advised that a debit order of R2,902.98 had already been processed and scheduled to run on my account on the same day. Had this been communicated, I would not have proceeded with the in-store payment.

Following this, I contacted your customer care line (***) and spoke with Prince Monyela, who clearly stated that I should NOT have made the payment in-store, as the debit order had already been submitted.

This contradiction between your in-store staff and call centre agent is not only unacceptable, but it has now placed me in a position where my bank account will not have sufficient funds to cover the R2,902.98 debit order. As a direct result, I am now facing yet another bounced debit order — something that will negatively impact my credit profile through no fault of my own.

It is deeply concerning that your representatives are not aligned on basic processes. Customers should not be penalised due to internal miscommunication within your organisation. All Vodacom staff should be adequately trained and fully aware of billing procedures, especially when customers are attempting to rectify their accounts in good faith.

I expect the following as a matter of urgency: - Immediate intervention to prevent the R2,902.98 debit order from being processed OR assurance that any resulting bank charges and credit bureau implications will be rectified by Vodacom

- Written confirmation that my credit profile will not be negatively affected due to this incident

-A formal explanation as to how such a breakdown in communication occurred Confirmation of corrective measures being implemented to ensure no other customer is placed in a similar position

This situation is entirely avoidable and has been caused solely by your staff’s failure to provide accurate and complete information.

I trust this matter will be treated with the seriousness it deserves.
