Only one person can perform a task

I had a vehicle accident on Monday the 3rd of August 2015 involving Three cars. It was in the morning round about 08:00 am when the case was reported, till this day I have not received a case number or an Accident Report number. The reason I get is that the person who loads the information on a computer OFF_SICK therefore we wait till he/she comes back, yet this side, we have to claim from our insurances and cannot continue without the case of AR number. CAN SOMEONE HELP!
