Incompetency in record keeping

I am a Foschini account holder;*** and dismayed at the incompetency regarding record keeping of Foschini accounts department; genuinely pathetic. I am annoyed at their continuous notifications of non-payments that have been made. I would appreciate if they could invest more on updated record keeping rather than on their useless payment notifications communication (as to whether they are automated or not is not an excuse). I have even been asked by one of their debtors to send through proof of payment-however not through the use of a bank statement.I fail to understand how I am eligible to waste my time and assisting them in getting their work done, how though?
