Woolworths Financial Services Cashback Query: Request for PDF Calculation (Sep–Nov 2025)
How frustrating it is dealing with Woolworths Financial Services.
I am a Black Card credit card holder. All I am requesting is a clear, itemised PDF showing the calculation of my quarterly cashback for the period September to November 2025, calculated at 3%.
Specifically, the PDF must confirm: • which transactions qualified and which did not qualify, and why; • any caps, exclusions, or adjustments that were app****; and • the final calculation used to arrive at the cashback amount paid.
A simple calculation and supporting breakdown like this has not been forthcoming. I have emailed and phoned customer service multiple times, and I continue to receive generic responses such as:
“We tried to contact you.” (Please don’t contact me — simply provide a PDF justifying the quarterly cashback payment.) “Kindly note that we have escalated the below query to our marketing department. Feedback will be given, once received.” “Did you know that your last six months’ statements have been uploaded on our Mobi App?” “For any further information do not hesitate to contact us on ***or via e-mail on ***.”
And then the next generic response:
“Thank you for your email. Today at 1**** we attempted to call you with regards to the below.” “After liaising with our Marketing Department, we can confirm that everything is in order.” “The cashback issued on 1 December 2025 is correct, based on purchases made at our Woolworths stores between 1 September 2025 and 30 November 2025.” “Please refer to your loyalty statement issued today, which provides a detailed breakdown of the last quarter.”
I have even gone into Sandton City Financial Services for assistance. Unfortunately, the support there was just as generic as the standard responses I receive via email and call centre. It feels like a wall has been built — you simply cannot go beyond the limited client service WFS provides. This is incredibly frustrating, and there appears to be no accountability at WFS to verify the level or quality of client service a customer actually receives.
WFS seems to believe that if they “apologise for the inconvenience,” then the matter is resolved. It isn’t. Stop apologising and assist your client with a simple, reasonable request.
If the cashback is correct, it should be straightforward to provide a PDF showing the calculation and how the amount was determined. This should be possible to produce within 24 hours.
Once again: what are WFS’s back-office capabilities? Are they able to perform a manual verification of their automated cashback system, confirm transaction-by-transaction eligibility, and provide an auditable calculation? Based on my experience to date, it does not appear so.
