Refund on student account

I have been following up a query regarding three UG transactions in student number *** fee statement. I have assumed UG refers to undergraduate, that is 2019 which was my son's final year.

UG Alstom GE: Why was it credited to Konzuluntu on the 17th December 2019 when I had already paid his fees in full? Was it done so that he can appear as not a needy student? UG Widney Transport: Why was this amount only credited to Konzuluntu on the 4th February 2020 and not in 2019? By then I had already paid his 2019 fees in full. Had he not returned to Wits for his Bcom Honours in 2020, were you going to refund us? I think so and we expect it to be same even now. Had you allocated on time, I would not have paid R40286 (R20 143+ R20 143) from my own pocket, hence I want it back. UG DHET Gap Grant Fund: The allocation was for his 2019 academic year. Does reversing it in 2020 mean it was incorrectly credited to him? If so, please furnish me, his sponsor with an explanation of why it was given to him in 2019 and why it's taken in 2020. Had he not returned to Wits, what would you have treated it in your books? However, the R15 376.84 was quickly reversed upon this enquiry! It's clear as day that a refund of R40286 (R20 143+ R20 143) is due to me/him and I want it. This statement made the fees office demand an authorisation letter from me as parent and proof of payment which was provided. In accounting, a financial year has only 12 months, same as an academic year. I don't understand how transactions of a previous year are carried over to the next, especially for a final year student, whose return to your institution is uncertain. As I am writing I’ve been told my son uploaded incorrect documents while some claim to be waiting for donor’s response (Widney) and some calculations need to be performed. I hope those relate to interest on the refund.

I just discovered the R15 376.84 Gap Funding was again brought back in April 2021 to reduce the refund, very odd!
