We asked for a delay in renewing our contract with Whitfields due to several issues that were picked up and not being ready to make the decision as trustees. This was ignored and when we gave notice exactly one day later, they turned around and said it wasn’t valid as we asked them to hand over to the newly elected management, We are now being held against our will and due to this technicality. They said we can have a special resolution meeting to cancel - if it is arranged via “REGISTERED” mail which costs almost R50 per envelope. We’ve submitted docs to CSOS which we’re waiting on now. A really petty and unnecessary experience. They overcharge for water, charge the highest possible rate for electricity and charge a fortune for their fees which is well above market range with nothing to show for it. Oh, and don’t expect range of quotes either. Slow turnaround times when you request them which puts everyone else in in the complex waiting when issues arise. There have been mistakes made int he management accounts as well, and no due diligence in cancelling a debit order which we’re still trying to recover right now. No real management or service. No arranging of trustee meetings or handy app or anything - just a super slow website. Even when I moved in, I had to go around contacting multiple people before I got the levy statement already 2 months later. Pathetic & disappointing to say the least. Can’t wait to close this chapter.

Kindly note that water and electricity charges are set in accordance with a trustees' decision and are in line with the charges by the local authority and all money recovered for such charges is credited to the Body Corporate.
Our management fees are charged in terms of a service level agreement just like any other service provider.Quotes for repairs to common property by service providers are only provided in terms of the Platinum service offering and the agreement in place. Notice of a meeting where a Special Resolution is to be passed requires it to be done by Registered Mail in terms of the STSMA Regulations. This is not a Whitfield requirement but a legislative requirement. We've received no other complaints pertaining to our website being “slow” and the speed is often dependent on the owner’s data connection and the size of the document being downloaded. The scheme websites that contain all pertinent documentation do store a lot of data of varying document sizes. The scheme websites are a unique service offering where all the scheme's information is readily available. Trustee meetings, in terms of the ST legislation, are called by a trustee with notice given as laid out in the ST Legislation. The Managing Agent cannot call a trustee meeting. The trustee meeting is for attendance by the trustees elected to manage the scheme. Whitfields does not attend trustee meetings unless requested to do so as Trustees meetings are ultimately for Trustees. As the MA we act on instruction from the trustees in terms of any trustee resolution taken at the trustee meeting. We depend on the accuracy of the purchaser information provided to us by the conveyancing attorney handling the transfer of ownership, and there may sometimes be a delay in receiving this information or even be advised by the attorney of the date when transfer of ownership to the purchaser was concluded. Unfortunately, this can lead to a delay in having the correct contact information to contact a new owner. We always try our best to ensure that this delay is kept to a minimum. Each scheme has its own dedicated Customer Service Consultant to deal with new and existing owners.
Decisions made by Trustees must be made in accordance with a Trustee Resolution as this is crucial to ensure that decisions are made by all the Trustees and not a single Trustee on his or her own volition.
