Ineffective Query Management
It is disappointing to note the manner in which queries are handled by the People Management Contact Centre – Western Cape. The service appears to be poorly managed, with little consideration given to clients who follow the prescribed process in good faith. Of particular concern is the practice whereby, after following up on a query using an allocated reference number, the response received is simply: “Please note that a new email has to be forwarded to the ***, as this incident has been closed.” This response is both unhelpful and inefficient. It undermines the purpose of issuing reference numbers and places an unreasonable burden on clients to repeatedly re‑log the same matter, often without resolution or explanation. No feedback is provided on why the incident was closed, nor whether any action was taken. Such handling of queries reflects a lack of accountability and does not align with acceptable service delivery standards. Clients are entitled to clear communication, continuity in case management, and meaningful responses to their queries. It is requested that this matter be reviewed and that appropriate measures be implemented to improve responsiveness, case tracking, and client support.
