Dear Mrs. Glazer
Following your complaints on Google, our WhatsApp system as well as Hello Peter, we have called for and examined all your patient records as well as the doctor’s consultation notes relative to your treatment.
Our findings are as follows:
18 Feb – Initial consultation with Dr. Milu at which Botox was administered. You signed full consent documentation and you were made aware of post-procedure protocols, including the fact that Botox can up to 14 days to settle and take full effect. A follow-up appointment was scheduled for 5 March.
19 Feb – You were contacted telephonically on a scheduled follow-up call by branch management, and you advised that you did not yet see a result. You were reminded at this point of the 14-day post-treatment settling period.
26 Feb – You called and advised that you were not happy with the result (despite the fact that 14 days settling period had not yet ensued). You advised that you were going to consult with a specialist, but after you were offered an earlier follow-up appointment with Dr. Milu, you made an appointment to see her. 2 hours later, you called to cancel the appointment and advised that you were going to consult with a specialist.
5 Mar – You came for your follow-up appointment and you were happy with your botox in the frown area, as it looked natural, and you liked that. You did note that your left eyebrow didn't seem to lift as well as the right, post botox. Dr. Milu did advise that it would be a good idea to do a few units of botox top up, but you said that you’d just had a procedure and your doctor advised you against any procedures for the next 6 months and that it didn't actually worry you. No additional injections were administered.
6 Mar – You called the branch and advised the manager that you were extremely dissatisfied and made the point that additional injections were administered the previous day. The manager checked your patient file as well as with Dr. Milu and confirmed that no additional injections were administered on 5 Mar. We requested that you come into the branch in order to have photos taken, so that we could undertake a full comparison between your before and after photos. You made an appointment to come in but subsequently called to cancel the appointment.
9 Mar – You came to the branch without an appointment when Dr. Milu was not on duty and the manager attempted to assist you and requested that a full set of photos be taken to show the doctor. You were uncooperative when the photos were being taken and it was not possible to take accurate photos as you kept covering and twisting your face away from the camera. You then stated that you wanted a full refund due to your dissatisfaction and that you were going to make a complaint on Hello Peter as well as on Facebook and Instagram.
11 Mar – You were contacted by Joanne from our client liaison team, and you provided your banking details and demanded a full, immediate refund. We immediately sent you a full refund release agreement (as required by our insurers) and called you twice to confirm that you had received the agreement. The refund would be effected on receipt of the signed release documentation. You advised that you were very busy and would not attend to our email until 12 Mar.
12 Mar – You emailed Joanne that you would not sign the release and that you wanted additional reimbur*****t over and above the treatment cost. You advised that your specialist had advised you that you were injected incorrectly (despite the fact that the specialist had not requested your patient file or procedure notes with the point-by-point injection diagram, which would be a normal procedure before making a diagnosis). You furthermore advised that you were consulting with your lawyer.
16 Mar – Following your advice that you were making this a legal matter, you were advised via email that all further communication be made via your lawyer directly to our attorneys.
Subsequent to this communication you have made numerous posts to Hello Peter as well as social media and have continued to harass branch and call center staff on an almost daily basis. You have furthermore advised that you would “consider” a settlement more than 3 times your original treatment cost.
This response sets out the exact events that have taken place as well as the sequence thereof.
We are of the firm opinion that every attempt has been made to determine and document the exact cause of your disappointment and that you were offered a full refund despite the fact that we were not able to document the cause of your dissatisfaction.
