Account problems

So now Intec calls the student and tell her that she didn't pay for exams long after the student has paid and written exams. I sent the proof of payment and Exam Entry Form to prove that the exams were paid but the account has not been updated yet and its creating a bad credit record at the credit bureau. I need answers ASAP.
