Unexplained and Unjustified Invoice Charges

Subject: Formal Complaint – Unexplained and Unjustified Invoice Charges

To Nedbank and Europcar Management,

I am writing to formally lodge a serious complaint regarding the invoice I received from Europcar, which reflects a substantial amount billed to me without any clear explanation, justification, or proper supporting documentation.

Despite multiple invoices being sent to me, there has been absolutely no clarity provided as to how this amount was calculated, what specific damages are being claimed, or why I am being held financially responsible in this manner. Simply forwarding repeated invoices does not constitute an explanation.

I contacted your representative, Tsholofelo, directly to query whether she had received my previous email requesting clarity. She indicated that she had not seen it, and I subsequently resent the email. However, to date, I still have not received any meaningful response addressing the concerns I clearly raised.

For the record, my position remains as follows:

The vehicle was obtained through my insurance provider.

The only damage in question was a windscreen chip.

Both the vehicle and I are insured.

Windscreen chips are standard insurance claims and are typically processed through insurance, not billed directly to the customer without explanation.

If there is any legitimate financial responsibility on my side, it would reasonably be limited to the accident excess fee of R4,000. What is entirely unacceptable is that a windscreen chip is seemingly being equated to a full accident excess amount without any breakdown, claim reference, insurance correspondence, or technical assessment report to justify this.

At this stage, I require:

A full and detailed itemised breakdown of the amount charged

Copies of the damage assessment report

Proof that the matter was submitted to insurance and the outcome thereof

A clear explanation as to why this is being billed directly to me

The basis upon which the amount was calculated

Transparency and due process are non-negotiable. I am not refusing accountability where it is legitimately due. However, I will not accept responsibility for charges that appear inflated, improperly allocated, or processed outside standard insurance procedures.

Sending repeated invoices without explanation does not resolve this matter — it escalates it.

If this issue is not addressed urgently and with proper documentation, I will have no choice but to escalate this complaint to senior management and, if necessary, the relevant regulatory and consumer protection authorities.
