Payments do not get allocated and accounts appear in arrears

My payments do net get allocated, every month is the same problem. Its the 15th today and I paid on the 1st .. payment still appear in arrears and after many stories still not allocated, I have sent through my proof of payment several times and my credit record is taking a strain because someone is not doing their part
