Settlement of Debt not explained in Detail

On the 02 Oct I requested a Settlement Amount/Letter from Direct Axis.I wanted to settle my account in the month of Oct .I asked the agent to email me a settlement amount .She asked me untill when this Settlement amount must be valid -I respond by saying end of Oct .She said to me that this will include a debt order of 4,607.63 .But did not explain that if I settle this debt before the 31 oct or before debt order date that I still have to pay the debt order of R4607.63.She also didnt explain that I cant re-request a settlement amount before the 31 Oct .She send the letter to me va email.Account Number : ***. I settlled the amount on the 13th of Oct .the full amount of R 128,339.25.After my payment I phoned in to ask for a Acc Closing letter and they said they can only give it to me after the 31 Oct.My query is why must I pay the full amount of R4607.63- debt order if my debt are already settle,why didnt the agent tell me that the settlement letter cant be recalc and why cant the pro-rate my interest up untill the 13 Oct .i received a statement on the 10 Oct stating my Outstanding Capital Balance : R 128,894.50 so why must i still pay a debt R4607.63
