Poor comminications in the company departments

I have made my arrangement payment they confirmed received of proof of payment then i get an sms payment not made it wil be handed over to the legal divition for further legal action

They dont know how to allocate the proper emails to the proper department tl have the proof of payments allocated and not having their systems updated
