Formal Complaint – Grossly Incorrect Kilometre Charges on Final Invoice

I am writing to formally dispute the kilometre charges reflected on my final invoice, which are grossly inaccurate and completely unacceptable.

The kilometres travelled have been significantly overcalculated and do not correspond with the odometer readings I submitted during the self-inspection. The invoice states that I travelled 1,724 km, which is factually impossible. I did not leave the Western Cape province at any point, and such a distance could not have been accumulated under these circumstances.

Furthermore, the “KM Out” value on the invoice is incorrect. As clearly shown in the self-inspection images submitted via your WhatsApp service, the odometer reading at the start of the rental was 10,716 km, not 9,232 km as invoiced. This discrepancy alone renders the kilometre calculation invalid.

Based on the correct readings:

KM Out: 10,716 km

KM In: 10,956 km

Total distance travelled: 240 km

This distance is well below the 600 km free allowance, and therefore no excess kilometre charges should apply.

I request that this invoice be urgently corrected and reissued to reflect the accurate odometer readings and kilometre usage.
